How Non-Emergency Medical Transportation Pricing Works in Northern Virginia

Non-emergency medical transportation pricing in Northern Virginia isn’t a flat fee. We build every quote from four predictable pieces. There’s a base rate for the level of service, a per-mile charge, a surcharge for off-hours trips, and fees that apply only when a trip needs them. Once you know those pieces, you can tell in advance what will move a quote up or down. In other words, there are no surprises when you call.

Here is exactly how a Protego Transport quote comes together.

The Four Parts of Medical Transportation Pricing

1. A base rate for the level of service

Medical transportation pricing always starts with a base rate tied to the support your loved one needs: ambulatory, wheelchair, or stretcher. Stretcher transport is its own, higher tier. That’s because it calls for specialized equipment and more hands-on help from pickup to drop-off. Not sure which level fits? That’s one of the first things we’ll help you work out on the phone.

2. Mileage

Distance is one of the biggest variables in medical transportation pricing. A per-mile charge covers the miles your loved one rides with us, from the pickup address to the destination. Some longer trips start well outside our usual area. For those, a separate per-mile charge may also cover the drive to reach you. That’s why a short hop across Manassas costs far less than a Loudoun County trip to a specialist in Richmond. The level of service can be exactly the same.

3. Time-of-day and holiday surcharges

We operate 24 hours a day, 7 days a week, including weekends and federal holidays. Evening, overnight, weekend, and holiday trips carry a surcharge. After all, staffing a 2 AM hospital discharge takes more than staffing a Tuesday morning appointment. The upside? When you need a ride at an unusual hour, one is available.

4. Situational fees, only when they apply

Some trips need something extra. That might be an additional assistant, bariatric equipment, or isolation precautions. It might also be wait time, when we stay with the vehicle during an appointment instead of making a second trip. However, these fees only become part of your medical transportation pricing when the trip calls for them. We’ll name each one before you book.

What Moves Medical Transportation Pricing Up or Down

For example, a short weekday wheelchair trip to a nearby appointment sits at the low end. By contrast, a stretcher transport across the state on a Sunday night sits at the high end. Most trips land somewhere in between, and the four parts above tell you where.

We price round trips as two one-way trips. Sometimes an appointment is short enough that waiting makes more sense than leaving and coming back. When that happens, we’ll tell you and price the wait time instead. You get whichever option actually fits the day.

Facility and Contract Medical Transportation Pricing

Medical transportation pricing works differently for partners who schedule trips regularly. That includes assisted living and memory care communities, skilled nursing facilities, hospices, home health agencies, and discharge teams. Instead of the individual family rate, we quote them on a volume schedule. Do you coordinate transportation for residents or patients? Call us to talk through a standing arrangement for your team.

What Every Protego Trip Includes

Medical transportation pricing changes from trip to trip, but the care never does. Every Protego trip is door-through-door, not curb-to-curb. Our team escorts your loved one from inside their home or facility room into one of our ADA-compliant, hydraulic-lift-equipped vehicles. We stay with them all the way to check-in at the destination, then bring them back again. We never leave anyone at a curb or a lobby door. You can see everything we offer, from dialysis and chemotherapy rides to long-distance medical transportation, on our services page.
